Terms and Conditions of Service

Introduction
These Terms and Conditions constitute a legally binding agreement between you and Haloed Recruitment ("Haloed", "we", "us", or "our"). By accessing or using our services as either a job seeker ("Candidate") or an employer ("Client"), you confirm that you have read, understood, and agreed to be bound by these terms. These conditions govern all interactions with our business, including browsing our website, submitting information through our contact forms, and engaging us for recruitment services. If you do not agree with any part of these Terms and Conditions, you should discontinue use of our services immediately.

Haloed Recruitment operates as a professional recruitment agency, providing employment-matching and workforce consultancy services. Our mission is to deliver tailored hiring solutions that align skilled candidates with reputable employers. Whether you are seeking a new role or hiring talent, these terms ensure both parties understand their responsibilities and rights throughout the recruitment process. We recommend you retain a copy of this document for your records and review it periodically, as changes may be implemented at any time.

Definitions
In this document, certain terms are used consistently for clarity. "Haloed" refers to Haloed Recruitment, its registered entity, staff, and authorised representatives. A "Client" refers to any company, employer, or organisation that enlists our services for the purpose of filling employment vacancies. A "Candidate" refers to any individual who engages with us in search of employment opportunities. "Services" refer to all recruitment, candidate screening, job matching, consultancy, and related offerings provided by Haloed.

The definitions herein are intended to cover all forms of engagement, whether via telephone, email, our website, social media platforms, or in person. These definitions ensure clarity across all forms of communication and documentation. For the purposes of legal compliance, all terminology adheres to standards expected under UK law governing employment and business conduct.

Use of Services
Haloed provides comprehensive recruitment services to match employers with qualified candidates. Our involvement may include the collection and screening of candidate applications, coordination of interviews, and advice on hiring strategies. While we strive to ensure an effective match between Clients and Candidates, we do not make any express or implied guarantees regarding the success of a placement, the performance of a hired individual, or the availability of suitable roles for job seekers.

Our services are designed to assist Clients in reducing hiring timelines and improving candidate quality through structured processes and sector-specific insight. For Candidates, our support includes access to exclusive roles, career guidance, and interview preparation. We act as an intermediary and not as an employer or legal representative of either party. All employment decisions rest solely with the Client, and any contractual relationship formed between Candidate and Client is their responsibility.

Candidate Responsibilities
Candidates using our services must provide honest, complete, and up-to-date personal and professional information, including but not limited to their curriculum vitae, references, qualifications, work history, and eligibility to work in the UK. Any false or misleading information may result in removal from consideration or termination of ongoing recruitment efforts. Candidates are expected to attend interviews punctually, behave professionally, and communicate proactively throughout the hiring process.

By registering with Haloed, Candidates agree to be contacted via the methods provided during registration, including email, telephone, and SMS. We reserve the right to verify documentation and request additional information as required to meet Client expectations. Submission of details to Haloed does not guarantee a job offer, interview, or continued representation. Candidates also agree not to circumvent Haloed by contacting employers directly in relation to job opportunities introduced through us.

Client Responsibilities
Clients engaging with Haloed must ensure all information relating to job roles is accurate, complete, and lawful. This includes job descriptions, salary expectations, working conditions, hours, required qualifications, and any specific compliance obligations (e.g., DBS checks or licensing). It is the Client’s responsibility to ensure any advertised role adheres to relevant employment laws and regulatory standards. Inaccurate job listings may impact candidate suitability and result in delays or additional fees.

Clients further agree not to directly or indirectly hire any Candidate introduced by Haloed without first entering into a valid agreement and confirming the associated fees. If a Candidate introduced by Haloed is employed—either directly, indirectly, or through a third party—within a 12-month period of introduction, full fees as outlined in the relevant Service Level Agreement (SLA) or contract shall apply. Clients also agree to treat all Candidates professionally and fairly throughout the hiring process.

Fees and Payment
Clients agree to pay recruitment fees as set out in the formal Service Level Agreement (SLA) or custom contract issued by Haloed prior to service delivery. Fees are typically based on the Candidate’s agreed annual remuneration and are due upon a successful placement unless otherwise specified in writing. The definition of “successful placement” includes signing of a contract, starting employment, or receiving training directly funded by the Client.

Invoices must be paid within the time frame stated on the SLA—usually 14 or 30 calendar days from the invoice date. Haloed reserves the right to charge statutory interest on late payments in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. Failure to settle payment may result in legal action and the suspension of further services. Fees are subject to VAT where applicable and may vary based on the complexity of the recruitment brief.

Confidentiality
All information shared between Haloed, Clients, and Candidates shall be treated as confidential. This includes business practices, salary details, CVs, reference checks, interview feedback, and hiring intentions. We do not disclose personal or commercially sensitive information to any third party without prior written consent, except where required by law or regulatory authorities.

Both Candidates and Clients must also respect the confidentiality of any proprietary or private information received through their engagement with Haloed. Breach of confidentiality may result in legal action and the termination of our services. Confidentiality obligations survive the termination of any agreement and continue for a reasonable period thereafter.

Data Protection
Haloed Recruitment complies fully with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. By using our services, you acknowledge and consent to the collection, storage, and processing of personal data necessary for the recruitment process. This may include identification details, employment history, education, and references, as well as communication records.

All data is handled securely and only shared with Clients or third-party service providers where it is directly relevant to your employment search or hiring objectives. Our Privacy Policy, available on our website, outlines how we manage, store, and delete data. You have the right to access, correct, or request deletion of your personal data in accordance with applicable data protection laws.

Liability
Haloed shall not be held liable for any direct, indirect, or consequential loss or damage resulting from the use of our services. This includes, but is not limited to, employment disputes, misconduct by Candidates, business disruption, or any hiring decision made by the Client. Clients remain solely responsible for verifying a Candidate’s suitability for their role, including legal, financial, and compliance checks.

While we strive for accuracy and integrity in all our work, our role is advisory in nature. Candidates and Clients use our services at their own discretion and are encouraged to seek independent advice where appropriate. Our total liability shall not exceed the total fees paid for the relevant service giving rise to the claim.

Termination of Services
Either party may terminate their engagement with Haloed at any time by providing written notice. For Clients, all outstanding fees must be paid in full prior to the termination taking effect. Candidates may withdraw from the recruitment process at any time, although such actions may affect future opportunities with certain Clients.

Upon termination, any obligations related to confidentiality, data protection, and previously agreed terms (such as candidate exclusivity or hire period clauses) shall remain in effect. Haloed also reserves the right to terminate services if either party engages in misconduct, breach of agreement, or unethical behaviour.

Amendments to Terms
These Terms and Conditions may be updated or revised by Haloed at any time to reflect changes in the law, industry best practices, or internal policies. Revised terms will be posted on our website and will take effect immediately upon publication. Continued use of our services following any update constitutes acceptance of the revised terms.

We recommend checking this page regularly to stay informed of any changes. Significant updates that affect your rights or obligations may also be communicated via email or other appropriate methods.

Governing Law
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes or claims arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the English courts. This includes contractual disputes, negligence claims, and breaches of statutory duty.

Both Clients and Candidates agree that any action brought against Haloed will be filed only in the appropriate courts of England and Wales, and waive any right to object to such jurisdiction on grounds of venue, convenience, or otherwise.
